Xerxes is currently recruiting for the role of Customer Service Coordinator. This position will be based in our Tipton, IA (515 West South Street) manufacturing facility. Duties and Responsibilities:

  • Reporting to the Plant Manager, the Customer Service Coordinator is responsible to ensure efficient delivery of Xerxes products and services through strong product knowledge and superior customer. Responsibilities include, but are not limited to:
  • Answer, direct, screen incoming calls, pertaining to the Customer Service Department. Respond to customer inquiries regarding freight quotes, problems, delivery, quality, specifications and installation problems.
  • Enter sales orders into the system correctly, configure tanks, and research parts numbers. Communicate lead times to customer and sales representatives. Give customers as much advance notice as possible to make deliveries more efficient.
  • Review new orders, checking the pricing, accessories and delivery time.
  • Update any backlog of orders for plant production purposes. Update ship dates and backlog reports daily.
  • Assist in production schedule planning.
  • Calculate estimates of goods and services required for special requirements and additional sales input on underground storage tanks.
  • Order trucks from trucking lines according to shipping needs, Coordinating with trucking company any special requirements for oversize, over length, etc.
  • Run shipping paperwork and gather all necessary instruction information.
  • Maintain uncommitted tank inventory. Utilize all reports to relieve inventory in order to reduce or eliminate slow moving tanks.
  • Maintain accurate customer order files including purchase order information, drawing approvals, customer correspondence, production information, warranty packages and freight details.
  • Process bills, invoices and credit memos to customers for products and materials ordered from the plant.

Required Qualifications:

  • Minimum 2-3 years of sales and/or customer service experience in a manufacturing or related industry (e.g. manufacturing, oil & gas)
  • Post-secondary degree, certification, or diploma with a focus in the areas of business and/or administration. Equivalent combinations of skills and experience may be considered.
  • Familiarity with basic office software packages such as Microsoft Office, Excel and Outlook.
  • Ability to handle multiple tasks in a high volume environment and have strong attention to detail.
  • Ability to develop and maintain positive working relationships with customers and coworkers.
  • Excellent written and verbal communication skills and a pleasant phone manner.
  • Strong organizational skills.
  • Bilingualism in English and Spanish would be an asset.
