Xerxes is currently recruiting for the role of Production & Logistics Assistant. This position will be based in our Tipton, IA (515 West South Street) manufacturing facility. THE ROLE

Reporting to the Production Coordinator, the Production & Logistics Assistant is accountable for day-to-day administrative activities associated with the facilities production, customer service and shipping activities.

DUTIES & ACCOUNTABILITES

  • Enter sales orders into system accurately – configure tanks, research part numbers
  • Maintain accurate customer order files including purchase order information, drawing approvals, customer correspondence, production information, warranty packages and freight details
  • Process bills, invoices and credit memos to customers for products and materials ordered from the plant
  • Set up customer deliveries and communicates lead times to customers and sales representatives
  • Track the status of orders and update backlog and ship date reports on a daily basis
  • Order trucks from contracted trucking lines according to shipping needs
  • Run shipping paperwork and gather all necessary instruction information
  • Review incoming orders by checking the pricing, accessories and delivery time. Resolve any problems or disputes on orders with representative
  • Respond to customer inquiries in a timely manner regarding freight quotes, delivery, quality, specifications and installation problems
  • Answer telephones, direct calls and greet visitors as needed for general office
  • Other administrative duties as required

REQUIRED QUALIFICATIONS

  • Degree, diploma or certificate in administration or related field from an accredited post-secondary institution
  • Minimum 2 years’ experience providing office support
  • Experience working in similar role and industry (i.e., manufacturing) is preferred
  • Familiarity with basic office software packages such as Microsoft Office
  • Ability to handle multiple tasks and strong attention to detail
  • Ability to develop positive working relationships with customers and coworkers
  • Excellent English written and verbal communication skills
  • Strong organizational skills
